Now that you’ve learned how to create a contract template, let’s take it a bit further and learn how to make contracts even more powerful with the use of tokens.

Tokens are snippets of code that represent fields of data that are contained within Táve. They become really powerful when used in contracts because you can dynamically reference things like client name or job date or session location without having to manually type it into each contract.

Booked Order Summary Token

This is a pretty neat little token that allows you to insert a copy of the clients booked sales order into the contract. You’ll use the token: {{booked_order.summary}}

You can see that this token is referencing their quote or order that contains the products that they’ve purchased.

Important Note: The booked order summary will not show in print preview in during the quote process because the client has not yet selected a quote. When sending a contract outside of the quote process, you’ll use the drop down menu for ‘Sales Order’ to specify which sales order the token should reference.

Payment Schedule Tokens

Some other tokens that are useful when building a contract template are payment_schedule tokens. Much like the booked order summary token above, these will show information about the payment schedule that your client has chosen or is set on the order.

Job Information Tokens

Job and client tokens are going to going to make filling out your contracts with the important information a piece of cake. Here’s an idea for the top of your contract that includes both client specific information as well as job details:

Populating Your Contract With Data

So how do these tokens get their data? You can manually enter this job information into each job. For example, when adding a contact to a job for Bride, you can edit her profile and fill in her name and address and when you assign that contact the job role Bride, her data will then be associated with the bride tokens. However, there’s an easier way! When you build a questionnaire and then associate the tokens with the fields, your client will actually be filling in the data for you when they complete the questionnaire.
