What is Acuity Scheduling?

Acuity Scheduling is a cloud-based appointment scheduling software solution that enables business owners to manage their appointments online. With Acuity you can build calendar schedules that your clients can choose from. With Zapier you can can build a Zap that observes when an Acuity appointment is scheduled, which then triggers an Action in Táve. Building the Zap

Like all Zaps, you'll begin building the zap on the Zaps page here: https://zapier.com/app/zaps

Once here, you'll find the 'Create' button to start the process.

In the editor, you'll want to give your Zap a name and then use the search to quickly find Acuity Scheduling:

Setting Up the Trigger

Choose 'New Appointment' as the trigger, then select your Acuity Scheduling account that you've connected:

You'll then want to select your Calendar and Appointment Type:

Next, run a test trigger to pull in data that you'll use when setting up the action:

Select Táve as the app then choose the 'Create a Job' action:

When setting up your action, first map the contact details (name, email, etc) to Acuity fields.

**IMPORTANT** You must select a Job Role from the options in the dropdown. This dropdown is pulling in your Táve Job Roles. You cannot map the Job Role field to an Acuity trigger field.

You'll be able to use the Additional Contact Fields and Contact Custom Fields drop downs to map Acuity fields to additional Contact Profile fields in Táve:

Next you'll want to set up your Job and Event details. You can use the Additional Job Fields and Job Custom Fields drop downs to add additional fields, including Brand, Lead Source, Lead Status, etc.

**IMPORTANT** You must select a Job Type and Job Stage from the options in the dropdown. You cannot map the Job Type or Job Stage fields to Acuity trigger fields.

**IMPORTANT** When setting up your Event details for this Zap you must use the following fields and mapped Acuity values. Use the Additional Event Fields to add the Event Start (Time) and Event End (Time) fields first.

  • *Event Start (Date & Time) field - map Datetime Acuity field here

  • Event Start (Time) field - map Time of Appointment Acuity field here

  • Event End (Time) field - map Ending Time of Appointment Acuity field here

You must map all three of these fields for this Zap to run correctly.

If Event Type is left blank your Primary Session for this Job Type will be used. You'll then want to enter your Timezone (this field is required and you can use the search box to easily find the correct one).

**IMPORTANT** You must make sure that your Time Format in Acuity Scheduling is set to 24 hour. You'll find this in your Acuity account in Customize Appearance - Appearance - Time Format:

You can also use the Additional Event Fields drop down to map additional Acuity fields to Táve or choose Táve fields to set a value for:

A good option here is to set the Event Confirmed field to False, if this is a new lead. This will ensure the event on the new lead is set to tentative in Táve, rather than confirmed.

Once you've completed the set up, you can then Test your Zap. This will send a test Job to your Táve account! Remember to purge any test leads when you're done.

You're now ready to Publish your Zap! 🥳🥳
