Viewing, editing and rescheduling existing mini session bookings

Once those Mini Session bookings start coming in, you'll be able to view, edit or reschedule your bookings all from the Mini Session here in Settings › Bookable Events. Select your Mini Session bookable event to manage your Mini Sessions and bookings.


Viewing Existing Bookings

On the Mini Session Event Setup screen you'll see all available dates, time slots, and any current bookings at a glance:

From the Actions dropdown on current bookings you can view the job, view the contact, edit or reschedule this event or copy/open the confirmation link:

From this screen you can also manually hold time slots, to have your Mini Sessions appear busy, or to hold a specific slot for a special client. Find out more on manually holding slots here:


Viewing Bookings in Progress

When clients are in the process of booking you'll see a Booking in Progress notice on that time slot. Use the view activity link for more information:

This will take you to the In Progress list on the Scheduled Events tab, with that in progress booking highlighted. From here you can use the Actions dropdown to copy, open or resend that booking link:

To manually remove an in progress booking, click on the link to the lead/job from this list. Closing the lead/job will automatically remove the booking in progress.

You can also use your lead statuses to have these leads automatically close, which will remove the in progress booking. If you've set up your Mini Session to use the lead status of Scheduling: In Progress for new leads, these in progress bookings will remain in Scheduling: In Progress for 7 days, at which time they'll move to Scheduling: Stale then be automatically closed after another 7 days. You can customize the timings of these automatic changes in your Lead Status settings.


Duplicating an Entire Day

If you'd like to offer the same time slots but on an additional day, you can use the Actions dropdown and select the Duplicate option:

Duplicating will make an exact copy with the same location, time slots and breaks. Simply choose the date you'd like to offer as the additional day. You can still duplicate a day even if it contains bookings, the existing bookings won't be duplicated, only those time slots.


Editing Mini Sessions

If you'd like to make any changes to your Mini Session days/times, use the Actions dropdown at the top here to select Edit:

The edit screen will allow you to update the date, location and make changes to the time slots.


Rescheduling an Entire Day or Changing Location

Sometimes the weather isn't on our side and you might need to quickly reschedule an entire day of Mini Sessions, or maybe change the location, and notify your existing bookings. You can do this from the Edit option in the Actions dropdown:

If you already have existing bookings, when you change the date or location, you'll see a Reschedule Notification notification pop up:

If you'd like to notify your current bookings of the change, select an email template in the dropdown here, or create a new template. When you save the changes to your Mini Session, this email will automatically be sent out to all existing bookings notifying them of the change.

Those details will also update on your existing bookings (so they'll be moved to the new day or location) when you save those changes.


Rescheduling an Individual Booking

If you have enabled the setting to allow clients to reschedule their Mini Session, they'll be able to do this themselves from the link on their booking confirmation.

You can also reschedule individual bookings inside Táve, on behalf of your clients. To reschedule a booking use the Reschedule option in the Actions dropdown next to their booking:

Select a new time slot from the ones available. You can select from any of the available days and times being offered:

If you'd like to automatically send a reschedule notification email to your client, select from a template here (or create a new template), before rescheduling the booking:

You can also reschedule a booking from the event on the job schedule, using the Reschedule Mini Session button here:

NOTE: the dates and times of Mini Session bookings cannot be edited directly on the event on the job. This is to prevent accidentally changing to dates/times not being offered. To change the date/time of an existing Mini Session, use the Reschedule Mini Session button instead.

You'll then see the same screen to choose a new date and/or time slot to reschedule this booking.


Cancelling an Entire Day

Sometimes things come up and you might need to cancel an entire day of Mini Sessions. You will only be able to delete an entire day if there are no existing bookings on it. If you have existing bookings, you'll want to reschedule those individual bookings first. You'll then be able to delete the entire day.

To delete an entire day use the Actions dropdown at the top and select Delete:

If you accidentally delete an entire day, use the undo option in the confirmation banner to restore it:


Cancelling an Individual Booking

If you have enabled the setting to allow clients to cancel their Mini Session, they'll be able to do this themselves from the link on their booking confirmation.

If you'd like to cancel a booking on behalf of a client you can use the Actions dropdown next to their booking to view the job:

Use the Close button on the job overview here:

Closing the job will automatically cancel their booking and free up that time slot for someone else to book. You'll see this cancelled booking in the Scheduled Events in the Cancelled list on your Mini Session:
